Introduction: Welcome to the myCOI Agent Portal! This guide will help you navigate through the portal's key features, enabling you to manage Certificates of Insurance (COIs) effectively. Whether you’re uploading a certificate, checking compliance status, or managing assignments, this guide covers the main steps you’ll need.
Step 1: Accessing Your Portal
When you receive a COI document request via email, click on the yellow “Go to Portal” button. This link takes you directly to the specific account that needs your attention.
Once you’re in the portal, you’ll have access to a variety of features, including:
- Uploading a Certificate of Insurance
- Reporting a policy cancellation
- Viewing previously uploaded documents
- Reviewing non-compliance notes
- Viewing sample certificates
- Checking the status of insured accounts
- Removing yourself as the agent on policy lines that your agency does not handle
Step 2: Dashboard Overview
Your dashboard is your primary hub within the agent portal. Here, you can manage accounts and keep track of items that require your attention.
Sections on the Dashboard:
-
Action Needed: This area highlights items that require immediate attention, including:
- New Certificate Needed: No prior documents have been uploaded. This may indicate a new assignment or a recent addition to the system requiring a COI upload.
- Non-Compliant Request: A document has been uploaded but didn’t meet the certificate holder’s requirements.
- Renewal Document Needed: A policy line is nearing expiration, and a renewal COI is needed.
- Policy Confirmation Needed: A request to confirm that policies remain active and have not been canceled.
-
No Action Needed: This section lists items that don’t require immediate action, such as:
- Pending Review: A document was uploaded but hasn’t yet been reviewed by the myCOI team.
- Compliant: The uploaded document meets all requirements.
- Expired Registration: Your insured hasn’t paid their annual registration fee, preventing further uploads until resolved.
- Inactive Requests: Assignments that have been deactivated with client approval.
You’ll also find your agency’s name, Agent ID, and two key action buttons in the upper-right corner of the dashboard.
Step 3: Key Actions on the Dashboard
Here’s a quick overview of the primary actions you can take:
-
Report Policy Lines Not Covered: If there are policy lines that your agency does not manage, select this option. Mark “No” for each line you wish to remove, then submit your changes.
-
Report a Cancellation: If a policy line has been canceled, click this button, select “Canceled” for the relevant lines, and submit.
Additional Dashboard Features:
You can also view a summary of your insured’s assignments or projects. This includes:
- Requestor: The certificate holder requesting the COI
- Insured: Your insured client
- Division: The project, location, or contract associated with your insured
- Last Document Upload Date: Date of the last COI upload for the assignment
- Pending Review: Indicates if the assignment is awaiting review by myCOI’s team
For more information on a specific assignment, click the blue Details button. This opens the Assignment page, where you can:
- View the sample certificate
- Upload new documents
- Review the last reviewed date, any non-compliance notes, and previously uploaded documents
Step 4: Getting Help
If you need additional assistance, click the Need Help button at the bottom of the screen. This provides access to support tools and resources to help you with any issues or questions.
