When it comes to getting compliant certificates on file, your vendors' insurance agents are the key players. The platform reaches out to agents first because they have the authority and access to provide the documentation needed to move compliance forward. When agents engage directly with their portal, issues get resolved faster and your team stays out of the middle.
myCOI Central gives agents a dedicated portal where they can see everything related to their assigned insureds and take action without having to contact your team directly. The more agents engage with it, the more your compliance process runs on its own.
How Agents Access the Portal
Agents do not need to create an account or remember a password. Their portal is linked directly to their email address. Every communication they receive from the platform includes a direct link that takes them straight into their portal, making it as easy as possible for them to respond and take action.
What Agents See in Their Portal
When an agent opens their portal, their requests are organized by type so they know exactly what needs attention. Request categories include:
- New Certificate Request -- a vendor they represent has been added to a new certificate request and a certificate of insurance needs to be uploaded
- Non-Compliant Request -- a previously submitted certificate has been reviewed and has items that do not meet the contractual requirements
- Renewal Certificate Request -- a policy they write is expiring and a renewal certificate needs to be uploaded
- Policy Confirmation Needed -- the certificate holder has requested confirmation that no policies have been cancelled or materially changed
Agents can also see requests that are Pending Review, meaning a document has been submitted and is awaiting compliance review, as well as requests that are fully Compliant and require no further action.
What Agents Can Do in Their Portal
For any open request, agents can view your insurance requirements, review non-compliant notes detailing exactly what needs to be corrected, and see previously submitted documents. Some other actions agents can take in their portal include:
- Upload certificates and endorsements directly, including multiple documents at the same time
- Report a policy cancellation
- Indicate that they do not write certain policy lines for a vendor
- Update their communication contact information
- Submit an override request if they believe a requirement cannot be met
The ability for agents to submit override requests through their portal is enabled by default. If your organization does not allow agent-initiated overrides, this feature can be turned off. Check with the myCOI Support team if you have questions about your current settings.
Quarterly Policy Confirmation
If your account includes quarterly tracking, agents may periodically receive a request to confirm that the policies on file have not been cancelled or materially changed. Agents can confirm policies directly in their portal or report a cancellation if something has changed.

Agents have the direct ability to provide, correct, and confirm the documents that determine your vendor's compliance status. When your vendors register themselves and provide accurate agent contact information, the platform can reach the right person right away. The faster agents respond, the faster your assignments move toward compliance without your team having to follow up.
