Overview
If myCOI handles your lease or contract extractions, adding a new tenant or vendor requires two steps:
- Adding the contact record to your vendor list
- Notifying the myCOI team so the extraction can be completed.
The process is the same whether you are adding a tenant for a lease extraction or a vendor for a contract extraction.
Step 1: Add the Tenant or Vendor record
- Start by confirming whether the tenant or vendor is already in your vendor list. Go to the Vendors tab and use the search field to look them up.
- If they are already there, you can move on to Step 2. If they are not, select the Add Vendor button to create a new vendor record.
- Complete the record with the information you have on hand. Some fields are required, so if you do not have all the details available yet, you can enter placeholder information for now. Once you've entered all required contact information, select Next.
- When you reach the assignment step, do not assign the tenant or vendor to a division or insurance set. Simply select Next to continue. The myCOI team will handle the assignment as part of the extraction process.
- On the final screen, you can either register on behalf of the tenant or vendor if you have their insurance agent's contact information, or send them an email asking them to register. Select whichever option works best for your situation and click Confirm.
Step 2: Submit Your Extraction Request
Once the tenant or vendor is in myCOI Central, notify the myCOI team so the extraction can get started. You can submit a request using the button below or by emailing contracts@mycoitracking.com, whichever is easiest for you.
When submitting requests by email, include the following:
- Your company name and the division name
- The tenant or vendor name as it appears in myCOI Central
- The division where they should be assigned, and the insurance set if the division includes multiple
- The lease or contract as an attachment
- The certificate of insurance if you have it on hand
From there, the myCOI team will review the lease or contract, assign the tenant or vendor to the correct division and insurance set, and upload the certificate of insurance if one was provided. You will receive a confirmation email once the process is complete.
A couple of notes on the certificate of insurance:
- The COI is not required to complete the extraction. If you have it, including it with your request helps keep things moving.
- If you do not have the COI at the time of your request but receive one later, send it to support@mycoitracking.com.
