When you are looking at an assignment in myCOI Central, the compliance status tells you where things stand and whether your team needs to take action. Here is a quick reference for what each status means.
Unregistered
Every vendor starts here. When a vendor is assigned to tracking, myCOI Central automatically begins outreach on your behalf: four emails over 30 days encouraging the vendor to register and provide their insurance agent's contact information. You can see this outreach happening in the communication tracking section on the assignment information page.
Most vendors register on their own and move forward. If a vendor has not responded after 30 days, the assignment will move into your Action Items on the dashboard. That is your cue to reach out directly. A conversation with your vendor can go a long way. Sometimes it is a bad contact, sometimes the emails were missed, and sometimes they just need a nudge to understand that participation is required.
Undecided In-Progress
The vendor has registered and things are moving. Either the platform is waiting on the agent to upload documents for a new request, or documents have been uploaded and are in the review queue waiting for review. Nothing is needed from your team at this point.
Non-Compliant In-Progress
The compliance team has reviewed documents and sent communication identifying what is needed for compliance, or the agent has uploaded revised documents that are back in the review queue. The platform is actively working this assignment. Nothing is needed from your team at this point.
Non-Compliant Finalized
The platform has exhausted all communication efforts and the certificate on file is either non-compliant or was never received. No active outreach is going to the vendor or agent at this time. This assignment will appear in your Action Items on the dashboard.
This is a decision point for your team. Ask yourself: do you still need to track this vendor? If yes, start by verifying that you have the best contact on file for both the vendor and the agent. Reaching out directly to get a certificate uploaded is the fastest way to get things moving again. Any upload to the assignment will automatically put it back in progress.
Compliant In-Progress
The vendor was last marked compliant, but a new certificate or document has been uploaded and is in the review queue. The vendor is still considered compliant because the last reviewed certificate has not expired. Once the new upload is reviewed, the compliance status may be updated. This status is common during renewal periods. Nothing is needed from your team at this point.
Compliant Finalized
The certificates and endorsements on file are compliant with all requirements. Nothing further will happen on this assignment until a renewal is requested automatically 30 days prior to expiration, or a new certificate is uploaded before that point.
