Report Builder is now available to all myCOI Central customers. With this tool you can build fully customized reports across four datasets. Select the fields that matter to your team, filter to the records you need, group and visualize your data, and save views you can come back to anytime. Rather than working around predefined reports that may not fit your workflow, Report Builder puts you in control of how you see and share your data.
Building a Report
When you navigate to Report Builder you will land on the Builder tab. Start by selecting your dataset and then you can create your custom report from there.
Step 1: Select a Dataset
Choose the dataset that contains the data you need. Four datasets are available:
- Compliance
- Registration
- Overrides
- Account Summary
Step 2: Select Your Fields (Columns)
Check or uncheck fields to include or exclude columns in your report. You can search for fields by name and reorder them using the sort controls. Each field can be renamed to match your team's language by clicking the field name and typing over the preset.
You will also see Computed Columns below the fields list. These are system-generated columns that convert certain data points into a more readable format, such as Yes/No values. They are included by default and can be removed by clicking the X next to each one.
Step 3: Filter Your Data
Use the Filters section to refine your results. Select Add filter and choose the field and criteria you want to apply. Filters are optional.
Step 4: Add a Grouping
Use the Groupings section to group your data by a specific field. Groupings are optional. If you choose to use them, we suggest the following groupings based on your dataset:
- Compliance dataset: Compliance Status
- Registration dataset: Registration Status
- Overrides dataset: Response Status
- Account Summary dataset: Type
Step 5: Select a Chart Type
Select a chart type to visualize your data. Options include:
- No Chart
- Bar Chart
- Pie Chart
- Line Chart
You will need to select a grouping for your chart regardless of the type.
Charts can be exported as a standalone PNG file and are included in all exported report formats except CSV.
Step 6: Run the Report
Once you have made your selections, click the Run button in the top right corner to generate your report. Your results will display in the report view.
Step 7: Export Your Data
You can export your report data using the Export button. Export options include:
- Excel/XLSX
- CSV
- HTML.
Saving and Managing Views
Once you have built a report you want to keep, click Save View in the top right corner. Give your view a name and it will be added to your Saved Views tab.
Saved views are visible to everyone on your account with access to reports. The Saved view tab displays:
- View name
- Dataset
- Chart type
- Date created
- Who created it
To use a saved view, go to the Saved Views tab and Load it. You can also delete saved views from this tab.
When the saved Report loads select the button to Run the report.
Subscriptions
With subscriptions enabled, you can set up automated report delivery on a schedule so your team receives the data they need without having to log in and run a report manually. This is also helpful in providing data to those team members who may not have access to the platform.
Subscriptions are tied to a saved view, so make sure you have saved your report before attempting to subscribe. When you are ready, load the saved report and select the Subscribe button in the top right corner. You can manage existing subscriptions from the Subscriptions tab.
In both cases the following settings are available:
- Schedule: Daily, Weekly, or Monthly
- Send time: Select any hour on the hour
- Output format: HTML (email body), PDF (attachment), Excel/XLSX (attachment), or CSV (attachment)
- Recipients: One or more email addresses
- Skip sending if the report has no data: Optional setting to suppress delivery when there is nothing to report
