Every vendor assignment in myCOI Central has its own Assignment Information page. Think of it as your home base for each assignment. From here you can see exactly where an assignment stands, review what the compliance team found, track every communication that has gone out, reach your vendor or their agent directly, and take action when something needs to move forward. Whether you are troubleshooting a non-compliant assignment or simply checking in on a renewal, this page puts everything you need in one place.
The myCOI ID at the top of the page is a unique identifier for this assignment.
Assignment Details
The top of the page displays key information about the assignment.
- Vendor - the name of the vendor associated with this assignment.
- Division - the division the vendor is assigned to.
- Insurance Set - the set of insurance requirements that apply to this vendor's assignment.
- Contract ID - an optional field, visible to the vendor and their agent. Often used for integration references, lease locations, or anything your organization wants to require on the COI that is not necessarily an insurance requirement.
- ID 2 and ID 3 - internal fields visible to your team only. Use these to track additional data points alongside the assignment for filtering, sorting, or reporting purposes.
- Add Assignment Note - leave an internal note at the assignment level. Assignment notes are visible to your team only and are not accessible to the vendor or their agent.
Assignment Actions
The buttons at the top right of the page give you tools to manage the assignment. What you see here will depend on your user permissions.
- Remove From Tracking - removes this assignment from active tracking. Previously submitted documents and communication history are retained, but all automated outreach stops and the assignment becomes inactive.
- Update Agent Information - opens a modal where you can update the existing agent contact information or switch the assignment to a new agency entirely.
- View Sample COI - displays the insurance requirements for this assignment. This is the same view the vendor and their agent see when preparing their submission. You can download this sample to send outside of the platform if you wish.
- Documents - a dropdown that allows you to access insurance documents for this assignment. Customers with the Document Hub add-on will also see the option to upload general documents.
- Review Actions - a dropdown for submitting and managing review requests. Submit Override Request is available to all subscribers. Rush Review and Re-Review requests and their associated dashboards are available to Concierge and Pro subscribers only.
Vendor Actions
These tools help you communicate directly with the vendor from the assignment.
- Send Insurance Portal Link -- sends an automated email from myCOI Central to the vendor's email address on file. The email includes a link to the vendor's insurance portal and their registered username if they have previously registered.
- Copy URL -- copies the vendor's insurance portal link so you can share it directly in your own communication outside of myCOI Central.
- Add Vendor Note -- leave an internal note at the vendor level. Vendor notes are visible to your team only and are not accessible to the vendor, their agent, or the myCOI team.
Compliance Status
The compliance status banner displays the current standing of the assignment at a glance.
- Compliance status -- one of six statuses reflecting where the assignment stands in the compliance process. For a full breakdown of what each status means, see Compliance Statuses Explained.
- Pending review -- indicates a document has been uploaded and is in the queue waiting for review.
- Pending overrides -- if there are override requests awaiting a response from your team, the number of pending overrides will display here.
Policy and Agent Details
This section gives you a detailed view of the insurance documents on file and where things stand with each of the vendor's agents. The date and time of the last review is displayed at the top of this section. There will be a card for each agent associated with the assignment. If a vendor has multiple agents covering different policy lines, each will have their own card in this section.
- Lines Covered by Agent -- the policy lines associated with that agent, each showing its current compliance status and expiration date if applicable.
- Non-Compliant Notes -- the notes generated after the last compliance review identifying what is needed for the assignment to become compliant. These are the same notes sent to the vendor and their agent requesting a new submission. If this section is blank, no document was ever received or the agent contact recently changed.
- Send Agent Portal Link -- sends an automated email to the agent's email address on file with a link to upload documents for this assignment.
- Show Contact Info -- displays the agent's contact information on file.
- Upload date -- shows when the most recent document was uploaded to this agent's card.
Override Requests
This section displays all override requests that have been submitted on the assignment. Responding to an override puts the assignment back in the review queue.
- Requested -- the date the override request was submitted.
- Request -- the details of the override request.
- Requested by -- the person who submitted the request. This could be a myCOI employee, someone from your team, or the vendor or their agent.
- Responded -- the date a response was submitted.
- Response -- the response that was submitted.
- Response by -- who submitted the response.
- Action -- where you can respond to a pending override request. If the override has already been responded to or rejected, this column will reflect that and no action is needed.
Communication Tracking
This section gives you a full log of every communication that has gone out on this assignment. Use it to see what has been sent, to whom, and when. The total number of communications for the assignment is displayed at the top of this section.
- Recipient -- the name of the person the communication was sent to.
- Recipient Type -- identifies whether the recipient is a client user, insurance agent, or carrier.
- Comm Type -- the type of communication sent, represented by an icon. Click the icon to see the email address the communication was sent to.
- Date Sent -- the date the communication was sent.
- Message -- the type of message that was sent, such as a vendor notification, policy expired notice, or non-compliant vendor notice.
