The Action Items section of your Customer Dashboard is one of the most important tools myCOI Central gives you. The platform is designed to automate your compliance tracking process. Handling vendor outreach, document collection, and renewal follow-ups on your behalf. When something surfaces in Action Items, it means the platform has hit a point where it needs your help to move things forward. Think of it as myCOI raising a flag - this one needs you.
The Filters
Action Items can be organized by filters that help you focus on specific types of situations. Use the buttons at the top of the section to apply the filters.
All
Displays every assignment and vendor currently flagged across all categories. This is a good place to start if you want a full picture of what needs attention.
Pending Overrides
Displays assignments with override requests waiting for your team's review and response. Timely responses keep your compliance program moving forward. Until someone on your team responds, the assignment cannot move to a compliant status.
Unregistered
Displays vendors who have not registered and are no longer receiving automated registration emails from myCOI Central. If a vendor appears here, they have not responded to any prior outreach. An assignment will move out of this status when the vendor registers or registration communications are restarted.
Non-Compliant Finalized
Displays assignments where all automated outreach to both the vendor and the agent has been exhausted. No further communications are going out from myCOI Central at this time. An assignment will move out of this status when a new document is uploaded.
Registration Expired
Displays assignments where the vendor's annual registration fee has expired. The vendor will need to pay their renewal fee, or the assignment should be removed from tracking.
Taking Action
Pending Overrides
Click the link in the Action column to open the assignment information page. From there you can review the override request and submit your response.
Unregistered
Click the link in the Action column to open the vendor record directly. Start by confirming that the contact information on file is current. Then reach out to your vendor directly to find out why they have not registered and encourage them to do so. Sometimes it is a bad contact, sometimes emails were missed, and sometimes the vendor just needs a reminder that participation is required.
Non-Compliant Finalized
Click the link in the Action column to open the assignment information page. Before reaching out, check the Agent Notes section on the assignment information page. This tells you the story of what happened before outreach stopped.
If Agent Notes have content: A document was received and reviewed at some point before outreach stopped. The notes will tell you exactly what was non-compliant. Use that information when you reach out so you can ask for what is specifically needed.
If Agent Notes are blank: One of two things likely happened.
No document was ever received. Start by verifying that the vendor and agent contact information on file is current, then reach out to get a certificate uploaded.
The agent contact changed and the vendor did not provide a new one. Documents from the previous agent are still available on the assignment information page for reference, but the COI collection process needs to restart. Your first step is to contact the vendor and ask them to provide their new insurance agent's contact information. They've ignored our attempts to update the agent.
Registration Expired
Click the link in the Action column to open the assignment information page. Reach out to your vendor directly to follow up on payment of their annual registration fee.
